How RHI Magnesita brought certainty to cross-border legal documentation with notarity
For three years, RHI Magnesita's legal team has used notarity to get documents notarised and apostilled quickly, wherever a signatory happens to be.
Notarising signatures and certifications from anywhere
Before notarity, getting something notarised often meant someone had to physically be with a notary. Either the signatory travelled, or the notary did. Coordinating that took a great amount of time – aligning schedules between all signatories and the notary. Apostilles came after, as their own separate step, consuming more time before a document was actually usable.
RHI Magnesita wasn't actively looking for an alternative to the traditional notarisation process. But as a genuinely tech-affine legal team, they saw the benefit as soon as notarity came along.
In practice, that shows up in small, concrete ways:
- A change in authorised signatories needs a specimen signature, is now arranged and signed without ever leaving the desk.
- A patent certification headed to a branch office abroad can now be notarised in a same-day appointment, and no travelling to different countries is required anymore.
Paper can wait — deadlines and business partners can’t.
Clearing an internal review first
Speed and independence from any single location mattered most, getting documents notarised and apostilled quickly, wherever a signatory happened to be.
RHI Magnesita ran notarity through its own internal data security and compliance review before signing off. During the review, notarity arranged a reference call with another customer's legal team. This let RHI Magnesita hear directly how the process held up in practice.
From first case to company-wide use
Once the internal review cleared, real use started fast. Conversations soon turned to scaling questions, like a shared booking link and billing recognised automatically by email domain, laying the groundwork for the account it's grown into today.
Three years on, usage keeps accelerating, the first half of 2026 alone has already surpassed all of 2025's appointment volume.
Certainty, wherever the signatory is
Getting a document notarised and apostilled usually triggered a time-consuming coordination process, then waiting for it to travel abroad before anyone could use it. Now, colleagues handle it directly themselves, no travel, no waiting on a local notary's schedule.
Since moving to remote online notarisation with notarity, RHI Magnesita has achieved significant annual savings in both cost and employee time, reducing the administrative effort previously required to coordinate notaries, courier documents, and manage apostilles.
