What notarity is

Remote online notarisation for your whole company

notarity is a platform for remote online notarisation. Licensed partner notaries notarise documents by secure video call, and your legal team gets the tools to organise it.

  • Sign from anywhere

Authorised signatories join from anywhere in the world and from any device.

  • Notarised by partner notaries

A licensed partner notary on the notarity platform notarises the document by video call. An apostille is optionally available in the same process.

  • Organised in one place

Booking forms, appointment requests and one dashboard for every notarisation across your company.

On the platform

One place for every notarisation your team runs

The tools your legal team uses to organise every notarisation, from the first request to the finished document.

Every signatory signs from wherever they are

All authorised signatories join one secure video appointment from their own devices, in any country. A partner notary on the notarity platform checks each identity and notarises the document online.

  • Identity verification in the browser, before the appointment
  • One video appointment for every signatory, or separate ones if no time suits everyone
  • Electronic signature in compliance with eIDAS, apostille and paper copy in the same workflow

Delegate the coordination hustle

Stop chasing signatories over email. Prepare the request, share a link, and let them fill in what's left, usually just their preferred time.

  • Custom booking forms, prefilled for your recurring use cases
  • Appointment request drafts your team preps in advance
  • Suggested time slots the signatory picks from directly

Track everything from one dashboard

See every booking form, draft, and appointment request across your team, and know exactly what's still open.

  • Central company dashboard
  • See whether each shared draft is used or still waiting
  • One place to find the resulting appointment once it is booked

For legal teams

What changes for your legal team

You already have a way of getting documents notarised. It works, it is just slow, expensive and hard to steer across teams and countries.

  • Up to 90% of the time saved

Authorised signatories save up to 90% of their time, because they sign from anywhere at flexible appointment times. Teams that organise notary appointments cut their workload by up to 90%.

  • One process for every country

The same booking, appointment and download steps for every country your documents go to, instead of a different routine for each one.

  • Signatories in different places

Several signatories join the same appointment, wherever they are. Each one receives their own email with instructions.

  • No travel, no courier runs

Signatories join by video from their desk, and documents are downloaded from the notarity account. Paper copies can still be couriered on request.

  • Apostilles without a visit to the authority

The apostille is arranged digitally in the same process and is usually ready minutes after the appointment.

  • Documents in one place, not in email threads

Every appointment and notarised document sits in your notarity account and the company dashboard, where your team can find it again.

  • Deadlines you can plan around

The appointment usually takes a few minutes and the documents are available shortly after it, so a deadline no longer depends on a courier or a queue at an authority.

Pricing

Credits instead of paying per matter

Companies with recurring need buy credits upfront and use them across services, on terms set in their agreement.

How it works

From upload to finished document

The whole process, from booking to the notarised document.

See how it works
  1. Book and upload

Choose the service and the country where the document will be used, upload it and add everyone who has to sign.

  2. Verify identities

Each signatory verifies their identity before the appointment, with a valid passport or EU identity card.

  3. Sign with a partner notary

In a secure video appointment, each signatory signs electronically, in compliance with eIDAS, and the partner notary notarises the document.

  4. Download

The documents, with the apostille where one is needed, are in your notarity account shortly after the appointment.

Security and compliance

What to hand your IT security and data protection team

The platform is hosted in EU data centres on ISO 27001 certified infrastructure, and data is encrypted with TLS in transit and AES-256 at rest. Access is role based and logged, every signatory's identity is verified, and processing follows the GDPR.

Frequently asked questions

To the FAQ

Who carries out the notarisation, notarity or a notary?

A licensed partner notary. notarity is a platform, not a notary's office. Every notarial act is carried out by an independent partner notary under their own seal, and notarity provides the platform the appointment runs on.

Is online notarisation legally valid and secure?

Online notarisation is legally permitted in many countries worldwide. The notarisation is carried out by a licensed partner notary, and documents are signed electronically, in compliance with eIDAS. The platform is hosted in EU data centres on ISO 27001-certified infrastructure, data is encrypted in transit (TLS) and at rest (AES-256), and access is protected with multi-factor authentication and strict access controls. If you are unsure whether your document can be notarised online, contact the notarity support team.

Where will our documents be accepted, and how is the notary chosen?

When booking, you select the destination country, meaning the country where the document will be used, not where your company or signatories are based. It decides which partner notary is assigned. With an apostille, the notarised document is generally recognised in all contracting states of the Hague Apostille Convention, more than 120 countries. For other countries, embassy legalisation may be required. As requirements differ, check with the recipient what they need.

Can several people from different countries sign the same document?

Yes. You can add multiple signers during booking. Each signer receives their own email with instructions and joins the same appointment, wherever they are. The notarisation is charged per document, not per signer.

What do we hand our IT security and data protection team?

The security and compliance page sets out how data is handled: the platform is hosted in EU data centres on ISO 27001 certified infrastructure, processing follows the GDPR, access is role based and logged, and signatures are electronic, in compliance with eIDAS. Anything it does not answer can be covered in the demo.

How do we start without turning it into a project?

Book a demo. A personal consultation shapes the setup to your volume and use cases, with next steps laid out in a shared action plan, and everyone who needs platform or identity verification onboarding gets proactive support. For a single urgent matter, you can also book a notary appointment directly, without any setup.
