One process for cross-border notarisation at Bitpanda

How Bitpanda’s legal team replaced a notary visit for every destination with one booking process that covers all 11 of its locations.

A notary visit for every destination

Bitpanda's legal team regularly needs corporate documents notarised and apostilled for use with foreign authorities.

Historically, that meant a physical notary visit for every document. The apostille itself typically took around two weeks, and that clock only started once a signatory had actually signed, which meant getting them in front of a notary in person first. Signatories were travelling more as Bitpanda expanded internationally, so the wait before signing stacked on top of the two week wait after.

Each new market Bitpanda entered also meant coordinating apostille and translation separately, market by market. The legal team needed one process that worked the same way regardless of which country a document was headed to, not a new arrangement each time.

Contrary to the emerging trend of geoeconomic fragmentation, notarity makes the cross-border legalization of all kinds of documents remarkably simple. Their tool saves us valuable time that we can spend on business matters that truly move the needle, instead of moving a pen across a document under the watchful eye of a notary.

One process, wherever the document is headed

Bitpanda's legal team wanted one partner instead of a per-country arrangement. notarity combines the apostille and certified translation into a single booking, so the legal team submits a document once instead of arranging a notary and a translator separately for every destination. Paperwork and billing run through one account instead of multiple providers and multiple invoices.

Appointments happen digitally through notarity's network of partner notaries, so a signatory no longer has to travel to be present in person. What used to take roughly two weeks can now be completed in minutes. The process runs on branded booking links set up per signatory, and it's simple enough that senior leadership signs through the same link directly, not just administrative staff.

From a handful of bookings to a standing process

Since Bitpanda's first booking in November 2024, the legal team has collected 224 signatures across 121 signed documents. In 2025, the one full calendar year on record, that included 38 appointments run through notarity. Those appointments are estimated to have saved the team roughly €29,000 to €45,000 in opportunity costs that year, time and money that would otherwise have gone into setting up and coordinating each notary visit, and getting a signatory there in person. Bookings arrive in bursts tied to specific filings and deadlines, which tracks with how corporate and regulatory work actually lands.

Alongside apostilled corporate documents, the legal team also uses notarity for certified passport copies for signatories and certified, sworn translations of commercial register extracts. New use cases keep surfacing as the relationship continues.

The legal team no longer sources or coordinates a notary for each destination themselves, and coordinating a document today is straightforward. Completed physical documents go directly from notarity's partner notaries to outside counsel abroad, instead of routing back through Bitpanda first. If anything does need sorting out, the legal team has a direct contact at notarity to ask, rather than a general support queue.

For the legal team, that means one process, the same one, for a task that used to mean a new arrangement, and a trip, every time a new market came up.
