How Remote People scaled one notarisation process to 24 countries with notarity

Remote People helps businesses hire and manage teams in more than 150 countries, and every notarisation now follows the same process, wherever the document is headed.

When every notarisation means a new set of hurdles

Remote People helps businesses hire and manage teams in more than 150 countries. That reach means the company's own paperwork, powers of attorney, board resolutions, register extracts, is never tied to one jurisdiction, and that volume grows right along with the business.

Before Remote People opted for notarity, every appointment had to be coordinated on site. Either the signatory travelled to the notary, or the notary travelled to the office, and someone on the team first had to work out which option was even possible in that country.

That meant aligning schedules across everyone involved, the signatory and the notary, before anything could be signed. Only once that happened did the process move to apostilles, a step that could drag on for days or weeks depending on the destination jurisdiction, with little visibility into how long it would actually take.

The real cost sat in the coordination itself. Finding a notary willing to travel, or one close enough to wherever the signatory happened to be, fell on whoever was arranging the appointment. That same person also had to align everyone's schedules before anything could move forward. And that overhead grew with every new country Remote People's business touched.

notarity replaced what used to mean coordinating a notary market by market with one simple process, wherever the document needs to go. A genuine improvement for how we operate internationally.

One booking link, any jurisdiction

A company formation in Austria in late 2023 brought Remote People to notarity for the first time. What started as a single notarisation grew into a standing arrangement, renewed and expanded more than once since.

The setup matches how Remote People actually operates. A standardised, branded booking link means the process looks the same no matter which country a document is headed to. Volume-based credit pricing replaces per-transaction billing, and hard copies can be shipped to a different address for each individual case, useful for a company whose own operations and customers are scattered across more than 150 countries rather than concentrated in one place.

Scaling without the coordination overhead

Remote People has run appointments through notarity across 24 destination countries so far, from Bulgaria and Argentina to Saudi Arabia and Sri Lanka, plus Malta and Singapore. Every one of them follows the same process.

Monthly volume has more than doubled since the relationship began, well ahead of the roughly 30 documents a year Remote People first estimated.

Remote People also has a dedicated contact at notarity, giving them insight into how to speed up individual cases and a direct line for feature requests that have made it into the product.

In practice, that coverage has looked like a range of recurring needs across the business:

  • Powers of attorney and declarations tied to changes in company representation abroad
  • Legalisations supporting new operations as the business enters additional countries
  • Embassy legalisation arranged directly when a jurisdiction requires that extra step

As Remote People's own footprint keeps growing, their use of notarity grows right along with it, one country at a time.
