Certification of facts
Company information confirmed by a notary, without a video call
When the notary has to confirm information, not a signature or a copy: a partner notary on notarity checks the facts, for example in the commercial register. You do not need to join an appointment.
What a certification of facts is
One of the three main notarial services on notarity. The right choice depends on what the notary has to confirm: a signature, a copy, or information.
What it is booked for
The partner notary confirms information, so nobody signs and nobody joins a video call. Common examples:
- UBO confirmation
- Confirmation of a company's ultimate beneficial owner, which banks and registers ask for in anti-money laundering checks.
- Company information
- An organisational chart, a company information statement, the registered office address, a register excerpt's content, or that a document exists or was presented.
Do I need an apostille?
If the certification is going abroad, usually yes. If you are unsure, ask the authority that will receive it.

Download your certification
The certification is usually in your notarity account within a few hours of the appointment time.
Frequently asked questions
Signature notarisation, certified copy or certification of facts: which do I need?
It depends on what the notary has to confirm. If someone has to sign the document, book a signature notarisation. If the document already exists and you need a copy that matches the original, book a certified copy. If the notary has to confirm information or content, book a certification of facts. If you are unsure, describe what you need and where the document will be used, and the team will help you choose.
Do I have to join a video call?
No. The partner notary verifies the information independently, for example through an official register, and issues the certification. An appointment is still created on the platform for organisation and invoicing, but nobody needs to join it.
Why do I need to verify my identity if I don't sign anything?
Because the finished document can only be accessed by a verified person. This keeps your document secure. The participant you add when booking verifies their identity, but signs nothing and joins no call.
I need a UBO confirmation. What do I book?
A certification of facts. The partner notary confirms the ultimate beneficial owner information.
I need a shareholder list with ownership percentages. Do all shareholders need to join?
No. A shareholder list or share certificate showing ownership percentages is a certification of facts: the partner notary confirms the shareholder information, and no shareholder needs to join.
When will I receive the certification?
The partner notary starts around the scheduled appointment time. The certification is usually available for download in your notarity account within a few hours after that.
Can a notary confirm facts for use in the UK?
Yes. Select the United Kingdom as destination country and a UK notary confirms the information, such as UK Companies House extracts, shareholder or director lists, or that a document exists or was presented. For use within the UK, an apostille is often not needed; for use outside it, a UK apostille usually is.
